Responsibilities

The Administrative Assistant position has various responsibilities for support of the System Supervisors, and the operating team members.
  • Implements safe work practices and a proactive safety culture while ensuring safety for the employee, the public, and the environment at all times
  • Makes modifications and enhancements to existing reports, spreadsheets and charts to improve, capture and communication of data and information to various stakeholders
  • Maintain Work Order Database and Calendar of Work Order Expirations, renewals and new vendor applications
  • Preparation of monthly and weekly Plant Operations Reports
  • Responsible for District reports, to include monthly collection of field inspection reports, organizing, and filing all applicable reports
  • Prepares monthly Payable Account Analysis Report and distribute to field/plant supervisors, researching discrepancies and resolve issues
  • Creates and maintains office correspondence and filing
  • Responsible for Monthly Tank Gauge Reports and R-3’s
  • Assists in the annual preparation of the Capital and O&M Budgets
  • Coordinate GPS installation or change outs as needed in the field
  • Input compressor rental invoices into strategic alliance database
  • Keeps track of personal mileage for manager and sends to payroll
  • Time reporting for supported employees
  • Input and maintain data in ADP such as Employee location, and phone numbers
  • Coding of invoices, and expense reports for supported employees
  • Schedule meetings and maintain calendar
  • Serves as a backup for other admins as needed
  • Other duties as assigned

 

Minimum Qualifications

  • High School Diploma/GED Required
  • Minimum of 5 years of administrative support experience
  • High integrity and self-motivated
  • Knowledge of various computer programs including but not limited to Microsoft Word, Excel, Access, and PowerPoint
  • Good communication and interpersonal skills
  • Must be able to work and perform without close supervision
  • Team player

 

Physical Demands

  • While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands and fingers, handle or fell and reach with hands and arms.  The employee is required to reach with hands and arms above his/her head as well as stoop and kneel to reach items below their normal reach
  • The employee is frequently required to walk, stoop, kneel, crouch, talk and hear
  • The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds
  • Specific vision abilities required by this job include Close vision, Distance vision, Peripheral vision, Depth perception and Ability to adjust focus
